Privacy Policy
1. Who we are
Torr Overland is run by Dan Hinton, a sole trader based in South Devon. Dan is responsible for the personal information we collect (the legal term is “data controller”). This policy explains what we collect, why, and what you can ask us to do with it. If you have any questions, or want to use any of your rights, email us at enquiries@torroverland.com.
2. What we collect and why
When you book a tour or buy from our shop
- Your name, email address, phone number, and billing and delivery address.
- What you have booked or ordered, and when.
- We use this to take your booking or order, send confirmations, post your order and keep you updated about your tour.
- Card payments are handled by our payment providers, Stripe and WooPayments. We never see or store your full card details.
Before your tour
- We ask you to fill in a short sign-in form (Google Forms) before the day. It asks for your contact details, an emergency contact, and any health or medical information that could matter for your safety on the tour.
- We only use health information to keep you safe on the day. Only our guides see it, and we only collect it with your consent.
- Please check your emergency contact is happy for you to share their details with us.
When you get in touch
- If you use our enquiry form, email or call us, we keep your name, contact details and what you have asked so we can reply and help you plan your trip.
Our newsletter
- If you sign up (in the website footer, at checkout, or by ticking the box on one of our forms), we keep your email address and name so we can send you news about tours, adventures and products.
- You can unsubscribe at any time using the link at the bottom of every email.
Surveys and prize draws
- Survey answers are anonymous and we only ever report them as totals.
- We only ask for your name and email if you choose to enter a prize draw, join the newsletter or ask for a copy of a report. We use them only for what you have ticked.
- For our adventure brand survey, report requests are shared with Pixelfish, the design studio we run it with, so they can send the report to you.
Photos and video on tours
- We sometimes take photos and video on tours to share on our website, social media and YouTube. We always ask before we do, and you are free to say no.
- If you change your mind later, tell us and we will remove anything we control that shows you.
When you visit our website
- We use Google Analytics to understand how people use the site, such as which pages are popular and how people find us. It only uses cookies if you say yes (see section 6), and it does not tell us who you are.
- If you say yes to cookies, we also use the Meta Pixel to measure our Facebook and Instagram ads, for example how many people visit the site or book a tour after seeing one. Meta may link this to your Facebook or Instagram account under its own privacy policy.
3. Our legal reasons for using your information
Data protection law says we need a valid reason to use your information. Ours are:
- To fulfil a contract with you: taking your booking or order and running your tour.
- To meet our legal obligations: for example, keeping financial records for tax.
- Your consent: newsletters, prize draws, photos and video, and health information. You can withdraw your consent at any time.
- Our legitimate interests: replying to enquiries, keeping our website secure and understanding how it is used, in ways you would reasonably expect.
4. Who we share it with
We never sell your information. We only share it with trusted services that help us run Torr Overland, and only what they need:
- Payments: Stripe and WooPayments.
- Newsletter: Mailchimp.
- Website analytics: Google Analytics.
- Measuring our ads: Meta (Facebook and Instagram), only if you accept cookies.
- Tour sign-in forms: Google Forms.
- Website hosting, security and email: our web hosting company, Cloudflare (security and spam protection) and Mailgun (sends emails from our website).
- Pixelfish: the design studio that builds and looks after our website, and runs the adventure brand survey with us.
- Delivery: the postal or courier service that delivers your order.
- When we have to: emergency services if you need help on a tour, our insurers if there is an incident or claim, or the authorities if the law requires it.
5. Information stored outside the UK
Some of these services, such as Google, Meta, Mailchimp and Stripe, are based in the United States or store information there. When that happens, your information is protected by UK data protection rules, such as the UK–US data bridge or approved contract terms.
6. Cookies
Cookies are small files saved by your browser. We use them for:
- Essential features: keeping items in your basket, checkout, logging in to your account, and remembering your cookie choice.
- Security: Cloudflare uses cookies to protect the site from spam and attacks, and Stripe uses them to help prevent card fraud.
- Analytics and ad measurement: Google Analytics cookies, to understand how the site is used, and Meta Pixel cookies, to measure our Facebook and Instagram ads. These are only set if you click Accept on our cookie banner. Until then, the Meta Pixel does not load at all, and Google Analytics only receives anonymous, cookie-free information.
- Fonts: our typefaces load from Adobe Fonts, which means Adobe receives your IP address.
You can change your mind at any time using the Cookie settings link at the bottom of every page. You can also block or delete cookies in your browser settings, but if you block essential cookies, the basket and checkout will not work.
7. How long we keep it
- Bookings and orders: 6 years, as we have to keep financial records for tax.
- Tour sign-in forms (including health information and emergency contacts): deleted within 12 months of your tour, unless we need them for an insurance claim or incident.
- Enquiries: up to 2 years after we last hear from you.
- Newsletter: until you unsubscribe.
- Survey and prize draw contact details: deleted once the draw is done and any report has been sent. Anonymous survey answers are kept.
- Photos and video: anything we publish stays up unless you ask us to remove it.
8. Your rights
You can ask us to:
- Give you a copy of the information we hold about you.
- Correct anything that is wrong.
- Delete your information.
- Stop or limit how we use it, or object to us using it.
- Send your information to you or another organisation in a common format.
- Withdraw your consent, where we rely on it.
Email enquiries@torroverland.com and we will reply within one month. It is free, though we may need to check your identity first.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
9. Keeping your information safe
Our website uses a secure connection, admin access is protected with two-factor login, and only the people who need your information can see it.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
This privacy policy was last updated in October 2026.
